This is the plain-English version of how Sync2Web collects, uses, and protects your data when you visit our site, talk to our AI assistant, or message us on WhatsApp.

1. Scope & Overview

This Privacy Policy describes how Sync2Web ("we", "us", "our") collects, uses, shares, and protects personal data when you visit our website, contact us, use our AI assistant, or communicate with us on WhatsApp, email, phone, or social media. By using our services or contacting us, you agree to this policy.

2. Data Controller

The data controller is Sync2Web, a remote-first digital studio. You can reach us at official@sync2web.com or +91 8218254624. For privacy-related questions, please use the same email and put "Privacy" in the subject.

3. What We Collect

We collect the minimum data needed to talk with you and deliver our services:

  • Identity & contact data — name, phone number, email, company.
  • Communications — messages, attachments and metadata you share via the website chatbot, WhatsApp, email, phone or social channels.
  • Project data — briefs, specs, files and credentials you choose to share for a project.
  • Usage & device data — IP address, browser, device type, pages viewed, referrers, basic analytics.
  • Cookies & local storage — strictly necessary cookies plus session/local storage used by our chatbot to remember your conversation on your device.

4. Why We Use Your Data (purposes & legal bases)

  • To respond to your inquiries and provide quotes (legitimate interest, pre-contract).
  • To deliver projects and ongoing services (contract).
  • To send transactional and service updates on WhatsApp / email after you opt in (consent).
  • To improve our website, assistant and services (legitimate interest).
  • To comply with law, prevent fraud and enforce our rights (legal obligation, legitimate interest).

5. AI Assistant on this Site

Our website includes an AI assistant powered by Google Gemini. When you chat with it, the messages you send and a static knowledge base about our services are sent to Google's Generative Language API to generate a response.

Conversations are stored only on your device (in browser session storage) and are cleared when you reset the chat or close your browser session. We do not link your chat with your identity unless you share contact details inside the chat. Do not paste secrets, passwords or sensitive personal data into the assistant.

6. WhatsApp & Messaging

If you message us on WhatsApp (https://wa.me/918218254624) or click a "Continue on WhatsApp" link, your phone number, profile name and message content are processed by Meta / WhatsApp under their own terms and policies.

Outbound automated messages are sent only after you opt in (e.g. you message us first, fill a form, or click a chat button). You can opt out at any time by replying STOP, mute the chat, or email official@sync2web.com to be removed.

7. Automation & Workflow Tools

We use automation platforms such as n8n and similar tools to route messages, qualify leads and sync data between WhatsApp, our CRM and our inbox. These tools act as data processors under our instructions.

Your data is only used to operate the workflow you started — for example, replying to your inquiry, sending you a proposal, or scheduling a call.

8. Who We Share Data With

We share data only with vetted processors who help us run the business:

  • Meta / WhatsApp — messaging delivery.
  • OpenRouter — AI inference for the website assistant.
  • Email and analytics providers — to send replies and understand site usage.
  • Hosting and infrastructure providers — to run the website and tools.
  • Payment processors (Stripe, Wise, banks) — to handle invoices.

We never sell your personal data. We may disclose data when required by law, to protect rights, or in a business transfer.

9. How Long We Keep Data

  • Inquiries that don't turn into projects: up to 12 months, then deleted or anonymised.
  • Active client communications and project data: for the duration of the engagement plus 36 months for legal, tax and reference purposes.
  • Chatbot conversation: stored in your browser session only — typically cleared when you close the tab.
  • Consent and opt-in records: 36 months from the latest interaction.

10. International Transfers

Sync2Web is a remote-first studio and our processors operate globally. Your data may be processed outside your country (including the EU, US, India). Where required, we rely on Standard Contractual Clauses or equivalent safeguards.

11. Security

We use HTTPS everywhere, scoped access controls, secret managers, and encrypted storage. We follow the principle of least privilege. While no system is perfectly secure, we treat your data as if it were our own.

12. Your Rights

Depending on your jurisdiction (GDPR, India DPDP, CCPA and similar), you have the right to:

  • Access the personal data we hold about you.
  • Correct inaccurate data.
  • Delete your data ("right to be forgotten").
  • Restrict or object to certain processing.
  • Withdraw consent at any time.
  • Receive a copy of your data in a portable format.
  • Lodge a complaint with your local data protection authority.

13. Children

Our services are aimed at businesses and adults. We do not knowingly collect data from children under 16. If you believe a child has shared data with us, contact us and we'll delete it.

14. Cookies

We use a small number of strictly necessary cookies and browser storage to make the site work and remember your chatbot conversation. We do not use third-party advertising cookies. You can clear cookies and storage from your browser at any time.

15. Changes to this Policy

We may update this policy as our services evolve. We'll update the "effective date" at the top and, for material changes, post a notice on the homepage or notify you via your usual channel.
